Managing Bill-To Parties

For those clients who you see in session but bill someone else, you will use Owl's Default Bill-To tool. This allows you to specify an alternate contact or a linked account as the Bill-To, or the person responsible for payment, on invoices and receipts.

Once you have marked them, their name and address will be included on all future invoices and receipts, and they will be titled the "Bill-To" on the receipts.

If the Payor is another client, and they have a card on file, you will be able to select from the Payor's cards when processing a payment. In the below example, Pearson is the Payor for Eva's session, and thus the payment methods available to select are pulled from Pearson's client profile.

Additionally, if Pearson is configured for Autopay, his default payment method will be charged automatically for Eva's session that he is the payor for, and financial documents will be sent to him (if auto-send is enabled). 



This is especially handy for parents or partners. You can only have one Default Bill-To per client.

3rd Party Payors

If a client's sessions are being billed to a 3rd party payor, you can configure the Payor under Settings > Payment Preferences > Edit Payors

Once you have inputted the Payors and saved the Settings, you can associate a payor with a client by navigating to the client profile > Contact & Clinical > Account Details and selecting the desired payor from the dropdown

If the client already has a Circle of Care contact that is listed as the Default Bill-to when the 3rd Party Payor is configured, the Default Bill-to label will be removed, as the 3rd Party Payor takes priority. In order to re-enable the Bill-to, you will need to remove the 3rd Party Payor.
